Start with the billing method
The strongest first message is specific. Identify the statement, service dates and line item you question, explain what changed or appears inconsistent, and ask for the calculation or records needed to understand it. Keep the property manager involved when the lease or property allocation method is part of the issue.
What to gather
- Save the complete bill before contacting support
- Write down the specific line item and amount you question
- Identify whether the issue is usage, RUBS allocation, dates or a fee
- Gather the lease utility addendum and prior bills
- Keep copies of support requests, emails and responses
- Record any corrected bill, credit or explanation you receive
Questions that produce a useful answer
- What billing method was used for this utility?
- What service period does this charge cover?
- If RUBS was used, what total expense and allocation factor produced my amount?
- If a meter was used, what readings or consumption were billed?
- What is the source and purpose of each administrative or service fee?
- Was any adjustment, estimated usage or prior-period balance included?
Contact the right parties

Keep the legal question separate
A calculation can be mathematically correct and still raise a lease or legal question, while a legally permitted billing method can still be calculated incorrectly. After checking the math, use the verified state guide where available.
